8. Retention period
You will find the retention period for personal data in the relevant chapter on data processing. We generally apply the rule whereby we only save your personal data for as long as they are required to fulfil their purposes or – if you have given your consent – until you revoke your consent. We also erase your personal data if we are under an obligation to do so on legal grounds.

General terms and scope
These General Terms and Conditions (hereinafter referred to as "GTC") apply to the participation in any events (e.g. seminars, courses, symposiums, etc.) (hereinafter referred to as "Events") held by the European HEMS and Air Ambulance Committee e. V. (EHAC).
Individual agreements on a case-by-case basis (including side agreements, supplements and amendments) take precedence over these GTC.
Registration for an event must be made
- via the online-based registration form on the website
Applications will be considered in the order by which they are received.
Upon registration, you will receive an acknowledgment of receipt of your request, comprising of a binding confirmation of your registration, information about the event and an invoice.
If an event is fully booked at the time of registration, we will inform you accordingly.
The contents of the events are carried out according to the published program. EHAC reserves the right to make changes.
Terms of payment
Registration fees for events are based upon the valid price list. A registration fee is payable within seven (7) working days after invoicing and must be paid to the account stated in the confirmation of registration.
If bookings are made within seven (7) working days prior to the designated start of the event, the fee shall be paid prior to the event starting.
In the event of late payment, EHAC is entitled to exclude participants from participating in the event and can delay a certificate of attendance until full payment of fees.
Cancellation of participation
A cancellation free of charge is possible up to thirty (30) days prior to the start of the event. Fees already paid will be reimbursed. Cancellations can only be made in writing.
Late cancellations incur the following charges:
• 50% of the event fee up to 21 days prior the start of the event
• 85% of the event fee up to 14 days prior the start of the event
• 100% of the event fee less than 7 days prior to the event
Repayment will be made using the same means of payment as applied to the original transaction.
Cancellation by EHAC
EHAC has the right to cancel any event for important reasons, such as insufficient number of participants or default of appearance of speakers. Already paid fees will be refunded.
Any further claims are barred.
All documents, software, samples, media and other materials passed on to participants during events are protected by copyright regulations. The information shall not be duplicated or distributed, used for its own purposes or for the purposes of third parties without prior written consent by EHAC.
We assume no liability for damages incurred by participants in the course of travel or other means inside and outside the respective event space.
Liability under the Product Liability Act remains unaffected.
Place of jurisdiction, applicable law
Place of jurisdiction for all legal disputes is Munich, Germany.
The contract is governed by German Law.
Dispute resolution procedure by a consumer arbitration body
We are neither willing nor obliged to participate in dispute settlement procedures conducted by a consumer arbitration board.
If a provision of these GTCC is or becomes ineffective, the remaining provisions shall not be affected. In this case, we will work with the Customer to create new, legally effective provisions that most closely approximate the economic purpose of the ineffective provision.
Revocation instructions for Symposium registrations:
Right to cancel your registration:
Within 14 days of registering, you have the right to cancel your registration.
To cancel your registration, you must inform us of your decision to revoke by means of clear statement (e.g. by postal letter or e-mail). You can use the attached revocation form.

To maintain the revocation period, you can send your notice before the expiry of the revocation period.
Effects of the revocation:
We will reimburse payments received using the same means of payment as to the initial transaction, unless you have expressly advised otherwise.
If you have requested that services be commenced during the period of revocation, you shall pay a reasonable administration fee equal to the proportion of services already provided to you at the time of revocation.
